Let us have a look at the following example:
Teacher Snape teaches at two schools: Hogwarts and Death Eaters College. Both schools are using Untis MultiUser and they have a common data source pointing at the respective ODBC connection.
To define Snape as shared resource you have to call the menu item "Modules | MultiUser | External elements" in one of the sets of data.
A dialogue appears in which you can create external elements. These have to be connected to the corresponding elements in the master data.
Note: Short name of the external elements
The short names of the external elements do not necessarily have to be the same as the short names of the master data. However, we recommend to use the same short name for the shared resources in all schools. Thus it is, on one side easier to keep an overview and on the other side you can use the auxiliary functions in Untis.
If the shared teachers or rooms are already defined in the master data then you can easily add these elements to the list of external elements via the buttons <Create external teachers> and <Create external rooms>.

As you can see in the picture, this function does two things. First, a new element with the short name of the selected teacher is created in the window "External elements" and second, the newly created element is connected to the corresponding element in "Master Data | Teacher" of the active school. This takes place in the field "Ext. Name" in which the short name of the external element is added.
If you create (manually) external elements whose short names are not the same as the short names of the corresponding master data elements, you have to fill in the field "Ext. name" manually too.
In our example the teacher Snape was defined as an external element in the school Hogwarts. In the set of data of this school the work is completed. Then the timetable scheduler of the school Death Eaters has to log in and open the window "External elements".
As there is already a record of the teacher Snape in the window "External elements" in the school Hogwarts, this record appears in the school Death Eaters, too. Now Snape has to be connected to the corresponding entry in "Master Data | Teachers". This happens either by making an entry manually in the field "Ext. name" in "Master Data | Teachers" or - in case the short name of the external element is the same as the short name of the teacher - via the button <Transfer to master data>.

Now all entries and input of data to define shared resources are completed. The next section describes how Untis will notify you when an external element is used by the other school.
