You want to schedule one standby teacher for the first period of each day of the week.

 

'On Standby' - Subject

 

1.Open the file demo5.gpn and "Master Data | Subjects".

There is already an on-standby subject entered and marked as such on the tab "Subs.".

Hint: Standbys count as teaching load

If you tick the option "Standbys count as teach. load" then the standbys count to the teaching load of the teacher just as any regular lesson. A substitution in a standby period does not count positive to the substitution counter of the teacher. In the report "Substitution Statement" the un-used availabilities are displayed for the selected time range.

 

 

 

Hint: No substitutions for standbys

You can tick the option "No substitution" for the on-standby subject (and for any other subject as well). With this, a standby period is cancelled automatically in case the teacher is absent. This option can be used as well for office hours. To substitute the latter ones would not make sense.

 

Maximum Standbys

 

2.Open "Master Data | Teachers On Standby". The maximum number of standbys per teacher per week is already entered in this window.

3.Open the standby window via "Modules | Cover Planning | Standbys".

 

Tick the option "Show the number of 'Standbys'" then you can enter how many standbys you want to assign to the specific periods.

 

4.Select the time range Monday through Saturday, first period. In the first periods one standby teacher shall be available. Hence enter 1 and confirm with <Return>.

 

You can assign as well more than one standby teacher per period (e.g. in the first periods two standby teachers and in the other morning periods one standby teacher).

Assigning teachers

 

5.After removing the tick at "Show the number of 'Standbys'" you can see the standby teachers that were already assigned. Now you can either delete the standby teachersclip0262or you can select suitable teachers via the teacher suggestionclip0263, similarly to the cover planning.

You can open the teacher suggestion only if a period is activated. The teachers who could be on standby in this specific period are displayed with some additional information.

 

Flag to the period in question (see also chapter Period flag ).
The number of standbys of that teacher.
The maximum number of standbys of that teacher (entered in "Master Data | Teachers").
The number of (minus) points which is calculated primarily from the three points above. The less points a teacher has the better suited to be on standby he is.

 

Alternatively to the teacher suggestion, you can enter the short name or you can assign the teachers automatically with the optimisationclip0265.

 

The optimisation assigns suitable teachers and enters them into the standby plan.

 

If you have entered 0 in the field "Max. Standbys" for a teacher then this teacher is displayed in the teacher suggestion; however, he is not taken into account in the optimisation.

 

Standbys -> Lessons

 

All changes that were done in the standby window are transferred to the timetable by clicking on the button <Standbys -> Lessons>.

 

6.Transfer your standbys to the lessons. Now you can see the standbys in the timetable and in the lessons window.

If you have assigned more than one standby per period, you can select here which one shall be displayed.

'On Standby' - Subject

 

If you have marked more than one subject as a standby subject then you can select here which subject shall be displayed and edited. That brings along the advantage that you can create a plan for office hours, if needed.

 

Printing of standbys

 

To print or to view the print preview of the standby plan click on the repective buttons in the main toolbar.

 

An alternative option to print standbys offers the subject timetable. You can print out the standby subject or issue it in the HTML format.
