The substitution suggestionclip0079gives valuable information to choose the most suitable substitute teacher:

 

Period flag

The period flag is a classification number of how well a substitution fits into the timetable of the teacher. It indicates the "distance" to the next regular lesson. Details are explained in chapter Period flag .

 

Counter

The counter is a number calculated from the number of substitutions and cancellations. You can define how this number shall be calculated via "Modules | Cover Planning | Settings..." on the tab "Counter (Subst)".

 

In general, the substitutions are counted positively whereas the cancellations (e.g. because of the absence of a class) are counted negatively. The time range is adjustable (See also chapter Settings of the substitution counter ). If there are more cancellations than substitutions then the counter becomes negative. This teacher has "substitution debts" and his counter is displayed in green, i.e. he can be assigned preferentially to substitute.

 

Substitutions and cancellations

Substitutions and cancellations - the basis of the counter - are displayed separately. You can use these specific numbers for considerations about the most suitable substitute teacher.

 

Class

A tick in this column indicates that the suggested teacher teaches this class. On one hand this is important for pedagogical reasons, on the other hand it is possible to shift lessons. Additionally, the class teacher (Master Data | Classes) is highlighted with a green background in the column "Class".

 

In the settingsclip0076of the substitution suggestion you can choose if the field "Class" shall be ticked for teachers who teach only a part of the class but never the whole class.

Subject

If this field is ticked then the teacher either has the teaching qualification for this subject (only possible with the module "Lesson planning - Value calculation") or he is teaching the subject of the open substitution.

 

Time requests

Possible time requests are displayed in here. They shall prevent that a substitute is assigned erroneously during a blocked period (Time request -3).

 

Statistical code

A statistical code entered in "Master Data | Teachers" is displayed in this column. This field can provide useful information. E.g. if you assign the code "E" to external teachers and the code "P" to part-time teachers then you immediately have the information if this teacher would be a suitable substitute.

 

Message

This field is ticked if the suggested teacher had to be notified separately.

 

Example: Notification of a substitute teacher

On Tuesday, 22 September, at 1pm the cover planner is looking for a substitute for Wednesday, 23 September, first period. Teacher Gauss could hold this substitution according to his timetable. He needs to be notified separately as he does not have any lesson until the scheduled substitution on the following day.

Teacher Curie has to teach on Tuesday in periods 7 and 8. She would be able to see the new substitution data (on paper or on the screen). Teacher Callas has a standby on Wednesday, first period. She would not need a notification.

 

If Gauss is assigned to substitute then you can see in the substitution window in the column "Message" that he needs to be notified.

Notify substitution teacher

With the module "Info-Timetable" the substitution teachers can be notified automatically via SMS or E-mail.

 

Availability

Here the availability that was entered in "Master Data | Teachers | Subs." is displayed.

 

Sometimes it is desired that a teacher who would be theoretically available, is not assigned to substitutions

 

This can be done with the field "Availability". Entries can be whole numbers from 0 to 9, where 9 stands for an absolute substitution ban. If you leave the field blank - which is the same as the entry 0 - then there are no limitations whatsoever regarding substitutions for this teacher. The entries 1-8 correspond with the levels between 0 and 9.

 

You can define the influence of the availability on the substitution suggestion in comparison to the other factors (See also chapter Order of the substitution suggestion ).

 

Supervisions

This column displays the number of supervisions in the selected time range (See also chapter Supervisions ).

 

Paid substitutions (paid)

This column displays the number of paid substitutions in the selected time range (See also chapter Settings of the substitution counter ).

 

Last week

The field in this column has a green background and is ticked if a teacher was substituting already in the previous week.

 

Yearly total

The yearly total is exactly the same as the counter (substitutions and cancellations are counted), just that the time range is always the whole school year. This enables you to get a quick overview of the weekly or monthly counter (column "Counter") and the yearly total at the same time.

 

Lesson Pool

If a lesson from the lesson pool can be used to fill an open substitution then it is displayed in this column (See also chapter Scheduling lessons from the LP ).

 

Points

The suggested teachers are ranked primarily according to an adjustable weighting (See chapter Order of the substitution suggestion ) whose result is displayed as points. The teacher with the lowest (or most negative) number of points is the most suitable.

You can show or hide the columns of the substitution suggestion by right clicking on the heading of the column.
