You can edit open substitutions with the substitution automatic too. With one push on the button you can assign suitable substitute teachers or rooms to all open substitutions.

This leaves the questions: Which criteria were decisive by the selections of the substitutes? The first teacher in the substitution suggestion was always assigned. If you have adjusted the substitution suggestion according to your preferences (see chapter Order of the substitution suggestion ) then the teachers that you find most suitable will be ranked highest and therefore they will be assigned.

 

Additional to the assignment of the most suitable subsitute selected from the substitution suggestion, you have more possibilities to use the substitution suggestion via the selection "Select the desired method":

Open the file demo5.gpn and set the substitution window on Tuesday, September 15th.

 

There are seven substitutions, two room substitutions and one break supervision to edit. Click on the button <Automatic>. Select successively the following methods to edit the open substitutions.

 

Standbys

 

Primarily you want to assign standby teachers. Select "Standby" and click on the button <Start substitute optimisation>. Teacher Gauss was on standby and therefore he was assigned to cover one substitution in the first period.

 

 

 

Released

 

Now released teachers (cancellations of their lessons because of the absence of a class) shall be assigned. The released teachers Arist and Gauss are assigned in the first respectively the third period.

 

Coupling teacher

 

If one teacher of a coupling is absent the other teacher covers this lessons (=supervision), in our example Arist in period four.

 

Shifts

 

If shifts are possible they shall be applied now. Two open substitutions can be covered by shifts: one with a one-step shift and the other with a two-step shift.

 

 

Caution: Type of shift

The type of shift that is set in the substitution suggestion will be applied (see chapter Shifts ).

The most suitable teacher according to the substitutions suggestion shall be assigned to the substitutions that are still open. Teacher Hugo is assigned in period four.

 

Room replacements

 

Only alternative rooms that are not occupied are assigned. This happens in period two. The room replacement for the Maths lesson in period three stays open as there is no alternative room available. In this case you have to find a room via the room allocation dialogue.

 

Break supervisions

 

Teacher Ander is assigned to the open break supervision.

 

 

 

 

Hint: Substitution automatic as "emergency planning"

The substitution automatic can be used if the substitution planner is not available. The substitution plan can be made quickly and efficiently even without Untis knowledge. If you have adjusted the substitution suggestion according to the needs of your school then a suitable substitute will be assigned for all substitutions.
